This innovative group generates significant savings on dining costs and other expenses with a POS system modified to meet some unique requirements.

THE CHALLENGE

  • To eliminate the use of cash system-wide, control costs and collect data for better budget planning.
  • To efficiently manage all cashless purchases—especially resident meals—from one central location for nine senior living communities throughout the state of Florida.

THE SOLUTION

  • Westminster Services wanted a MICROS POS system, but also needed to customize it.
  • Common CENTS Solutions met the most needs for the best value, and could customize the system.
  • Common CENTS Solutions collaborated with Westminster to enable its MICROS 9700 POS and Enterprise CCS GEMliving to interface with other corporate programs, automating every step possible for maximum efficiency.

THE RESULTS

  • Successfully phased in a cash-free system
    • The GEMliving System manages all resident and staff purchases from any POS venue: dining rooms, snack bars, convenience stores, beauty shops, etc.
    • Purchases are made with employee badges, resident key fobs and credit cards.
  • Saved hundreds of thousands on dining costs
    • Built-in cost controls and data collection help guide more informed budget planning.
    • Eliminates revenue loss from residents unknowingly exceeding the meal count on their plans.
  • Significant savings of administrative time
    • All system file maintenance is done from the central Orlando offices.
    • MICROS and GEMliving systems interface with other corporate programs that manage resident and employee accounts.
    • This tight integration with Westminster’s other systems has greatly reduced monthly billing time.
      • For example, when staff members update one corporate program to add a resident or new staff member to the system, the GEM and MICROS software automatically updates the list of active accounts without additional staff input.
      • Resident and employee charges are no longer manually entered. They are imported electronically into the billing and payroll software.
  • More convenience for residents and employees
    • Easier to carry a single card than to keep up with cash.
    • Easier for employees to see how many meals are left on a resident’s plan.
